Frequently Asked Questions About Our Private Catering

What types of events does Grillin cater?
We cater all types of private events, including weddings, corporate events, employee appreciation/retirement parties, grand openings, birthdays, private parties.

What are Grillin's catering food service hours and length?
A service time of one to two hours is typically planned. Grillin will be present at an event for a total of 3-4 hours (set up, service, and clean up). We prefer Brunch and lunch service to conclude by 2 pm and dinner service start between 5 and 8 pm.  Time frames can vary depend on availability and travel times.

How far does Grillin travel? Travel fee?
Grillin proudly services the White Mountains of Arizona with free delivery within 30 miles from Snowflake. Events 30 – 50 miles distance will be charged a $50 mileage fee. 

Do I need to provide a permit for Grillin to cater my event?
No.  As long as the event is held on private property and off-street parking for the truck is provided.  Grillin typically acquires the permits needed for public events.

What does Grillin need the day of the event to operate?
Access and parking must allow for clearance of the following dimensions: 20 FT LONG (42 FT LONG with the Truck) X 14 FT WIDE X 15FT TALL. Clients must verify that we are allowed to park at the event location site. The truck cannot park on a street. Grillin is self-contained and will plan on running our super-quiet generator for power but we may also request an electrical connection (120V connection) as backup. While we always use extreme care, Grillin is not responsible for damage or stains to pavement or landscaping caused by the food truck entering or exiting the parking space or the use of its equipment. 

Can Grillin accept special menu requests?
Of course!  Our catering menus can be just a starting place.  We would be happy to customize any of them (or start from scratch) to meet your special needs and desires.

When do I need to pick my menu?
Menus needs to be finalized at least 14 days in advance of the service date or with the signed contract, whichever is closer to the event.

Can the truck serve my own food?
No. Due to safety and sanitation regulations, the only food that can be served from the food truck is food prepared by us.

Do we need to supply our own trash cans, plates, utensils and napkins?
No*.  Grillin provides paper plates/food containers, napkins, and plastic utensils.  We can also serve using client-provided plates/utensils etc.
We will supply 2 large trash cans and liners for the guests' use.  If more cans are necessary, client must provide them. Grillin does not supply tables or seating for guests.
*This answer does not apply to "drop-off" catering service where Grillin supplies ONLY the food in disposable containers.

Does Grillin require a minimum guarantee for catering?
Yes.  Catered events carry a 30-person/ $700 minimum (whichever is greater).  If you contract for 30 people and 25 people eat, you will get charged for 30 people.  If 35 people eat you will get charged for 35 people.  Grillin will generally prepare enough food for 5% more people than the final guarantee.

How do I decide on my guaranteed minimum count?
Guests are counted as they go through the buffet line.  We will not deny guests a second service unless instructed so by the client.  If you know there will be 40 guests attending your event, and expect that they will each go through buffet line only once, then your guarantee should be 40.  We will prepare enough food for 5% over the final guaranteed number of guests.  It may be a good idea to increase your count by a few guests if you anticipate last minute additional guests or guests wanting seconds. "All-you-can-eat" buffet packages are available at alternate pricing structures.

Is a deposit required?
Yes.  We require a $350.00 non-refundable deposit upon signing the contract to secure the food truck and book the agreed-upon date.  For certain events a second deposit to bring total to 50% of the contract value may be required by 30 days prior to the event.

When is the total amount due?
The deposit is due upon return of the signed contact. The balance, based on your guaranteed minimum count, is due 10 days prior to event. Any additional amounts due (for extra people, for example) are due by cash or credit card prior to completion of service on the day of the event.

What is the Event Cancellation Policy?
The $350.00 deposit is non-refundable. If the truck is cancelled at least 10 days prior to service, no additional fees are due. If the truck is cancelled within 10 days of the service date the entire contracted minimum is due. Grillin operates rain or shine.

So, what happens if the weather is bad?
Grillin operates rain or shine, so if you haven’t rented a tent you may want to consider doing so - a tent is party insurance. If the weather dictates that indoor, sheltered, or artificially-lit buffet accommodations are necessary, it is up to the client to provide them. We will be happy to set up the buffet in your home. Grillin will not set up a catered buffet in inhospitable conditions and reserves the right to provide drop-off service (at no discount) if other satisfactory arrangements cannot be made.

What methods of payment do you take?
We accept credit cards (Visa, Mastercard, American Express, or Discover),  PayPal, or cash.

What, exactly is Grillin's private catering/booking/deposit/payment process?

  • We start with a Catering Inquiry Form.  You can fill it out online or give us a call and we'll do it over the phone.  This will give us some basic information about your event.  If the event date/time/location etc. work for us we'll get back to you to firm up the details.
  • To secure catering for your event, you will need to sign a catering contract (we use an online e-sign service) and pay a $350.00 non-refundable deposit.
  • The finalized menu and guaranteed minimum must be provided at least 30 days in advance of the event date, or when signing the contract for events booked less than 30 days in advance. For large events a second deposit to bring the total to 50% of the contract value may be required at this time.
  • Payment of all remaining balances are due no later than 10 days from the event. 
  • Any additional amounts due (for extra guests, for example) are due prior to completion of service on the day of the event.
